QR Codes That Actually Scan: What Most Generators Don't Tell You
Generating a QR code takes ten seconds. Generating one that scans reliably β on a dim restaurant wall, from three meters away, on a phone from 2019 β takes a little knowledge. Here's the practical version.
1. Pick the right QR type for the job
- URL β menus, landing pages, portfolios. Keep the URL short: every extra character makes the code denser and harder to scan. Use a short link if your URL is long.
- WiFi β cafΓ©s, Airbnbs, offices. Guests join without asking for the password. Note: it stores the password in plain text inside the code, so only use it for guest networks, never your main one.
- vCard β business cards, conference badges. Puts your contact straight into the scanner's phone. Keep it to name, phone, email, and one URL β a bloated vCard creates an unscannable brick.
- Plain text β serial numbers, short instructions, WiFi-free contexts. Fine for under ~100 characters.
- Email β "scan to email us" on feedback cards and receipts.
2. The #1 failure: too much data in too small a print
QR density is the silent killer. A 2,000-character URL crammed into a 2 cm code will fail on older phones. Rules of thumb:
- Under 50 characters β scans at almost any size
- 50β200 characters β keep it at least 3 cm / 1.2 in wide
- 200+ characters β 5 cm+ and test on a mid-range phone, not just your flagship
If your URL is long, shorten it first. A short URL in a sparse code beats a full URL in a dense one, every time.
3. Size and distance: the 10:1 rule
A QR code should be roughly one-tenth the scanning distance. Scanning from 30 cm (a business card held in hand)? 3 cm is plenty. A poster scanned from 3 meters across a room? You need ~30 cm. When in doubt, go bigger β nobody ever complained a QR code was too easy to scan.
4. Color: contrast beats branding
Scanners read contrast, not color. Black on white is bulletproof. What fails:
- Light colors on light backgrounds (yellow on white is nearly invisible to scanners)
- Inverted codes (white on black) β many scanners handle them, many don't; don't risk it on print
- Brand colors with low contrast between them (e.g., red on orange)
If you must use brand colors, keep the code itself dark-on-light and put branding around it. Always leave a quiet zone β a clean margin around the code at least as wide as one module (the little squares).
5. Logos in the middle: how much is safe
A logo works because QR codes have built-in error correction β they can lose up to ~30% of their area and still scan. Practical limits:
- Keep the logo under 20% of the code's area
- Use a square or circular logo; avoid covering the three big corner squares β those are the anchors scanners look for
- After adding a logo, test with 2β3 different phones before printing
6. Placement matters as much as the code
- Eye level or table level β codes near the floor or above head height get ignored
- Flat surfaces β curved bottles and wrinkled fabric distort the grid
- Good lighting β that moody dim corner of the bar is where QR codes go to die
- One code, one action β three QR codes side by side ("menu / WiFi / review us!") means nobody scans any of them
7. The pre-print checklist
Before you print 500 flyers: scan it with an iPhone and an Android, from the actual distance people will stand at, in the actual lighting. Then have someone who didn't make it try β fresh eyes catch what you miss. Five minutes of testing beats a reprint run.
Quick answers
How do I create a QR code for my website?
Paste your URL into the Link tab β the QR code appears instantly in the preview. Click Download PNG or Download SVG and use it on flyers, slides, packaging, or your email signature. No account, no watermark.
How do I make a QR code for my WiFi?
Open the WiFi tab, enter your network name (SSID), password, and security type. Print the QR code and stick it on the fridge β guests scan it with their phone camera and join without typing a long password.
Are these QR codes free for commercial use?
Yes. The codes are generated entirely in your browser with no tracking, no expiry, and no watermark β use them on products, menus, business cards, or ads however you like.
